Privacy Policy

This Privacy Policy explains how My Expense Manager (“the app”), published by Next Best Studio (“we”, “us”), handles your information. Your financial data stays on your device. Crash reporting and anonymous usage analytics are off by default — we collect nothing unless you choose to turn them on.

The short version

  • Your financial data — accounts, transactions, categories, payees, projects and settings — is stored locally on your device and is never sent to us.
  • Crash reporting and anonymous usage analytics are off by default. We collect nothing until you opt in via Settings → Privacy → “Help improve the app” — and you can turn it off again anytime.
  • Optional backups go to your own Google Drive account. We never receive them.
  • We do not show ads, and we do not sell your data.

Information you enter

Everything you record in the app — accounts, transactions, categories, payees, projects, budgets, bill reminders, expected receivables, recurring items, notes, and your in-app settings — is saved in a private database on your device. It remains under your control and is not transmitted to us. The contents of your accounts and transactions are never included in analytics or crash reports.

Analytics and crash reporting (optional, off by default)

These features are disabled by default — the app collects no crash or analytics data unless you choose to enable them via Settings → Privacy → “Help improve the app.” If you turn them on, we use the following Google / Firebase services, and you can turn them off again at any time:

  • Firebase Crashlytics (Google) — collects crash reports: stack traces, device model, operating system and app version, and a pseudonymous app-instance identifier. This helps us diagnose and fix crashes.
  • Google Analytics for Firebase (Google) — collects anonymous usage and diagnostic data: app version, device type, approximate location (country/region, derived from your IP address — not precise GPS location), and in-app events such as which screens and features are used. This helps us understand how the app is used.

If enabled, this data is processed by Google on our behalf, is not linked to the financial data on your device, and never includes the contents of your accounts or transactions. Your use of these services is also governed by Google’s Privacy Policy and Firebase’s Privacy and Security information.

In-app purchases

The app offers an optional one-time Pro upgrade that unlocks additional features. Payments are processed by Google Play Billing; we never receive or store your payment information. Your purchase is tied to your Google Play account, so reinstalling the app or moving to a new Android device will restore your Pro entitlement automatically once you sign in to the same Play account. You can review or get a refund for purchases through the Google Play Store following Google’s published refund policy.

Optional Google Drive backup

The app offers an optional backup and restore feature. When you enable it, a backup of your app data is uploaded to your own Google Drive account, after you grant permission. Specifically:

  • The backup is stored in your Google Drive, not on any server we control. We never receive or have access to it.
  • We request only the permissions needed to create and restore your backups, limited to the app-specific hidden folder (the drive.appdata scope). The app cannot see the rest of your Google Drive.
  • The services used are Sign in with Google (Google Identity Services / Google Play services Auth) to authenticate you, and the Google Drive API to store the backup. Sign-in gives the app your basic Google account identity (such as your email) for authentication only.

Data security

Your financial data is stored in a private, app-specific database on your device, protected by your device’s own security (such as your screen lock). Any data that does leave your device — backups to your Google Drive, and (if you opt in) crash / analytics data sent to Google — is transmitted over encrypted HTTPS connections. We do not operate our own server for this app.

Data retention

If you enable analytics and crash reporting, we keep that data only as long as needed to fix issues and understand usage. Crashlytics crash data is retained by Google for up to 90 days; analytics data is retained according to Google’s configured retention period. Data you enter is retained on your device until you delete it.

Your choices and how to delete your data

The app does not require you to create an account with us, and we do not run a server that holds your data. Everything you record stays on your device. To delete your data, you control the local copy and any optional backup directly:

  • Analytics & crash reporting are optional and off by default: enable or disable them anytime via Settings → Privacy → “Help improve the app.”
  • On your device: uninstalling the app — or going to Android Settings → Apps → My Expense Manager → Storage → Clear data — removes the local database and every entry you recorded. (Export a backup first if you want to keep a copy.)
  • Your backups: delete backup files anytime from your Google Drive, or revoke the app’s Drive access (see below) to disconnect it.
  • Google account access: revoke the app’s access anytime via your Google Account permissions.
  • Crash and analytics records (if you opted in): to request that Google delete your Crashlytics or Analytics history before its normal retention window expires, email us at support@nextbeststudio.com and include the date you uninstalled the app — we will forward the request.

Because we do not store your data on our servers, there is no separate account or server-side record on our end to delete.

Device permissions

The app may request the following Android permissions, each used only for the feature you are actively using:

  • Notifications — to deliver the bill reminders and expected-receivable reminders you set up. Granted via the system permission prompt on first use, and revocable in your device’s notification settings at any time.
  • Storage / file access (via the system file picker) — when you import a QIF or CSV file, export a backup, or pick a folder for scheduled backups. We only see the specific file or folder you choose.
  • Google account access — to sign in to Google Drive when you enable cloud sync, and only to the app-specific hidden folder (drive.appdata).

Children’s privacy

The app is not directed at children under 13 (or the equivalent minimum age in your jurisdiction) and we do not knowingly collect personal information from them.

Changes to this policy

If we change how the app handles data, we will update this policy and revise the effective date above. Material changes will be reflected in an app update.
